Office Administrator / Assistant

Summary

We are seeking a full-time office administrator / assistant that will act as a support role to our Fine Watches and Asian Art Department Heads. Exact duties may vary from day to day but the ideal candidate will work closely with the Department Heads to ensure the departments run smoothly. The ideal candidate needs to be able to manage and prioritise their workload in an efficient and timely manner and to work with minimum supervision (full training will be provided). They will need to have excellent organisational, written and verbal communication skills, and have a great attention to detail. The candidate must be fluent in the English language. A good knowledge of Microsoft Word and Excel is essential.

Responsibilities include, but are not limited to

  • Entering cataloguing provided by Department Heads
  • Organising their appointments and schedules
  • Looking after client consignments in Department Heads' absence
  • Assisting with and organising Auction Viewings
  • Providing any other assistance that is deemed necessary by Department Heads
  • Typing, formatting and proofreading valuations / letters
  • Answering phones, managing emails, dealing with customers and with general queries
  • Maintaining and updating client database
  • Creating mailing lists and liaising with mailing houses
  • Scanning & filing of documents
  • Importing data into company system
  • Performing anti-money laundering checks in line with AML policies and procedures and ensuring all client contracts are in order
  • Occasional weekend and evening work for auction viewings
  • General auction work: internet bidding, phone bidding, entering results

Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
